A. General:

1. I need a residence permit or visa to visit Heidelberg/Germany. Can I get an official invitation from Heidelberg Alumni International (HAI)?

Yes - If you are a member of HAI, we would be happy to send you a personalized invitation via mail or email, which you could present to the proper authorities. Contact us directly at: jubilaeum@alumni.uni-heidelberg.de.

2. What lodging is available during the Alumni Meeting "20 Years HAI"?

HAI has reserved blocks of rooms with numerous hotels in Heidelberg and the surrounding area especially for Heidelberg alumni. The list of participating hotels, price ranges and alternative lodging options are available on our website. We encourage you to make your reservations early and to check the deadlines. Further details are available here.

3. Where can I get assistance in Heidelberg, if I have problems or questions during "20 Years HAI"?

The entire team of Heidelberg Alumni International is available to provide assistance during the alumni reunion.

4. Can I use the university's internet access with my devices during my stay in Heidelberg?

Yes - With your private notebook or smartphone you can use the university's WLAN during the alumni reunion. Upon your arrival at the alumni office you will receive all necessary information.

B. Registration:

1. What is the registration deadline for "20 Years HAI"?

There are two registration periods available:

• Early Bird: until 31 March 2016
• Regular Ticket: until 10 June 2016

Your registration will be treated as a temporary reservation. The participation fee has to be payed within four (4) weeks after registering. In case we will not receive your money within this period your reservation will be cancelled.
Of course you can register again. Then you will receive a new time frame for your payment.


2. My companion is neither a member of HAI nor of the GdF. Can I register non-members to participate in "20 Years HAI"?

Yes - As HAI or GdF member you may register one (1) companion. This person can but does not have to be registered with HAI or with the GdF.

3. I would like to bring along my family and/or friends. Can I bring more than one companion to participate in "20 Years HAI"?

If you like to register more than one (1) companion for the alumni reunion please contact us directly at: jubilaeum@alumni.uni-heidelberg.de.

4. I am not registered with HAI or the GdF. Can I still participate in the alumni reunion "20 Years HAI"?

To sign up for the alumni celebrations in 2016 you have to be registered with HAI or with the GdF - unless you participate as the companion of a registered member. Other than that participation is not possible.
You can register with HAI for free if you are alumni of Heidelberg University.

5. I am still studying and do not have the alumni status yet. Can I still participate in the alumni reunion "20 Years HAI"?

If you are enrolled at Heidelberg University, you can already register with HAI during your studies. Then you meet the requirements and can register online for the event.

6. Can I check the status of my anniversary registration?

You will receive a registration ID after signing up. With this ID you can check the status of your registration at any time.

7. Can I participate in the alumni reunion without registering?

No - A registration for the alumni reunion "20 Years HAI" is binding. The necessary costs have to be paid in advance.

8. I registered for the alumni reunion "20 Years HAI" but I cannot attend. What should I do?

Should your plans change, please let us know as soon as possible, so that we can take the appropriate steps. Contact us directly at: jubilaeum@alumni.uni-heidelberg.de.
Please note: Only if you cancel your registration before 11 June 2016 can the participation fee (less the transfer costs) be reimbursed for you.

9. I have no possibility to register online. What should I do?

C. Costs:

1. How much does the alumni reunion "20 Year HAI" cost?

The prices are as follows:

• for HAI or GdF Members:
  • Early Bird (until 31 March 2016): EUR 79,00 per person
  • Regular Ticket (until 31 May 2016): EUR 99,00 per person
• for guests, who are not members of HAI or the GdF:
  • Early Bird (until 31 March 2016): EUR 99,00 per person
  • Regular Ticket (until 31 May 2016): EUR 119,00 per person

Please note: Only if you cancel your registration before 1 June 2016 can the participation fee (less the transfer costs) be reimbursed for you.

2. What is included in the participation fee? Are there more costs to come?

Participation in the main events is for free, so is it for most of the other activities. At some events even have food and beverages included. However, for a few activities small additional fees may be necessary.
All other kinds of costs of your stay (your personal catering, travel, accommodation, etc.) are not covered and have to be paid.

3. Is there a discount on the price if I do not take part in all days?

No - The registration as well as the participation fee cover the whole event period. It is not possible to get a discount on the price even though you might not attend all activities or all days.

D. Programme:

1. Where can I find a summary of the event programme?

Information on all alumni events, activities offered by the schools, departments and institutes as well as our ancillary alumni program is available on our website at http://www.alumni.uni-heidelberg.de/jubilaeum/2016/en/programm.html. In addition, we will provide you with a detailed print programme upon your arrival in Heidelberg.

2. Do I need to register separately for the individual events?

Yes - We will send you an email with information on the detailed programme and the registration process in due course.

3. Can I participate in all activities?

No - Some activities will take place at the same time. You can select from all activities and choose in advance according to availability which activities you would like to attend.
Please note: Some activities will have a limited number of participants (for example due to the size or format of the venue). Admission to the events will be given in registration order.
